Job Summary
Colorado School of Mines is seeking a Conference and Program Manager to support Conference and Event Services in the planning and execution of conferences, short courses, symposia, seminars, workshops, and related programs.
This role serves as a principal interface with clients and manages event logistics, budgets, marketing, attendee communications, registration systems, and on-site event operations. The position directly supports Payne Institute events on campus and serves as a backup for the Summer Conference Manager.
Key Responsibilities
- Coordinate and manage conferences, short courses, symposia, seminars, workshops, and similar events
- Collaborate with faculty and external clients on professional education proposals and program development
- Manage event logistics including venues, meeting rooms, audiovisual arrangements, food service, transportation, printing, and on-site setup
- Prepare event timelines and ensure clients remain informed, aligned, and on schedule
- Supervise event setup, event management, event breakdown, volunteer coordination, and exhibitor support
- Provide on-site check-in, registration support, attendee assistance, presenter support, and event troubleshooting
- Validate attendance, create certificates of completion, and maintain certificate records
- Maintain event databases, review information for international compliance, and respond to shared inbox communications
- Conduct post-event meetings, collect organizer feedback, and prepare final event reports
- Serve as a technical expert for event system management programs
- Configure and manage online document management systems, registration systems, and internal financial systems
- Develop marketing timelines and support publicity campaigns, promotional materials, graphics, signage, and event communications
- Prepare, track, and maintain event budgets, financial records, purchasing forms, refunds, discounts, and reconciliations
- Identify training needs, update training materials, and create documentation for event group systems and processes
- Supervise student assistants, graduate assistants, resident assistants, or temporary event support staff as needed
Qualifications
- Bachelor’s degree from an accredited four-year institution required
- Progressive event management experience may be substituted for the degree on a year-for-year basis
- Two or more years of experience in event management required
- Proficiency in event management software such as Cvent or EventsAir required
- Proficiency in Microsoft Office Suite required
- Customer service experience with strong interpersonal, communication, and relationship-building skills required
- Four or more years of event management experience preferred
- Experience developing and managing event or conference budgets preferred
Physical Requirements
- Provide on-site leadership presence during conferences, programs, and campus events
- Support event setup, event operations, event breakdown, registration, and attendee assistance
- Work weekdays, with some evenings and weekends as required by event schedules
