Job Summary
Colorado School of Mines is seeking an Associate Director of Research Administration – Accounting and Post Award Compliance to lead financial management and compliance functions within the Office of Research Administration.
This role oversees sponsored project financial management, post-award operations, financial reporting, cash management, revenue reconciliation, balance sheet activity, closeout processes, and compliance for approximately $100 million in annual sponsored research funding.
Key Responsibilities
- Lead and manage the Post Award team, including Research Accountants, Grant Administrators, Billing Specialists, and Financial Compliance staff
- Oversee hiring, onboarding, training, performance reviews, staff development, and personnel management
- Prioritize workloads based on deadlines, complexity, available resources, and sponsored project requirements
- Resolve complex administrative, accounting, regulatory, and fiscal management issues related to sponsored research
- Develop and maintain standard operating procedures, internal controls, and efficient post-award business processes
- Provide expertise and consultation on research project fiscal management, sponsor regulations, federal requirements, and university policies
- Support ORA research management software and university financial systems related to post-award functions
- Develop post-award training materials for ORA staff, campus partners, faculty, and administrators
- Oversee reconciliation of sponsored research accounts, including revenue, expenses, balance sheet activity, invoices, collections, and subrecipient monitoring
- Manage cash flow, financial reporting, account closeout, refunds, write-offs, and sponsor financial requirements
- Serve as an authorized organization official for required financial reports to sponsoring agencies
- Analyze indirect cost revenue trends and support forecasting, F&A rate strategy, and indirect cost rate proposal preparation
- Coordinate responses to audit requests and implement audit recommendations when needed
- Develop fiscal reporting, analysis tools, business intelligence reports, and ad hoc financial models for sponsored research activity
- Collaborate with faculty, academic departments, campus administration, governmental agencies, and external partners
Qualifications
- Bachelor’s degree in accounting, business, or a related field required
- 10 years of progressive professional experience in accounting or financial management required
- In-depth understanding of generally accepted accounting principles, financial policies, and procedures in the public sector
- Five or more years of experience supervising professional staff, including hiring, onboarding, training, and evaluation
- Five or more years of progressive experience in sponsored project financial administration
- Working knowledge of OMB Circulars and other relevant external regulations
- Excellent oral and written communication skills
- Strong problem-solving and analytical skills with the ability to make independent decisions
- Demonstrated customer service skills and ability to work with a wide range of constituencies
- Ability to manage multiple deadlines and competing priorities
- Experience with enterprise financial systems
- Certified Public Accountant or other professional licensure preferred
- Working knowledge of public higher education systems preferred
- Experience with Workday, Banner, Ellucian, or similar enterprise financial systems preferred
